Privacy Policy

This policy explains what personal information Actuall AI collects, why we collect it, who we share it with, and the choices you have. It applies to this website (actuall.ai) and to the Actuall AI service, including our WhatsApp agent.
Who we are
Actuall AI (“Actuall AI”, “we”, “us”) is a business based in Israel that is in the process of incorporation. You can reach us about anything in this policy at support@actuall.ai.
Two roles we play
For this website and for business contacts, we decide how your information is used. We are the controller (the “database owner” under Israeli law).
For content inside a customer’s workspace (messages, voice notes, photos, documents, and records from connected tools), the business that signed up for Actuall AI decides what goes in and who can see it. We process that content on the business’s behalf and under its instructions. If you are an employee of one of our customers, please contact your employer first with questions about workspace content; we will help them respond.
What we collect
When you visit this website
- The site sets no cookies and uses no analytics or advertising trackers.
- Our hosting provider, Cloudflare, processes standard request data (such as IP address, browser type, and the page requested) to deliver the site and protect it from abuse.
- The site loads its typeface from Google Fonts, which means Google receives your IP address and browser information when the page loads.
When you contact us
- Your name, email address, company, and whatever you include in your message.
When your team uses Actuall AI
- Account information: name, phone number, WhatsApp profile name, company, and the role your administrator assigns.
- Workspace content: text messages, voice notes and their transcripts, photos, files, and the structured records we create from them.
- Connected-tool data: records we read from or write to tools your company connects, such as a CRM.
- Usage and technical data: message timestamps, the actions the agent takes, error logs, and security logs.
How we use it
- To run the service: transcribe and organize what your team sends, answer questions, and carry out the tasks your team asks for or your company configures.
- To enforce your company’s access roles, so people only receive answers they are allowed to see.
- To keep the service secure, prevent abuse, and fix problems.
- To respond to your messages and provide support.
- To tell you about the service, if you asked to hear from us. You can opt out at any time.
- To meet legal obligations.
We do not sell personal information. We do not use one customer’s workspace content to answer another customer’s questions, and we do not use workspace content to train AI models that are shared with other customers.
Legal bases (for people in the EU and UK)
Where the GDPR applies, we rely on: performing our contract with your company; our legitimate interests in running, securing, and improving the service and in responding to business enquiries; your consent where we ask for it (you can withdraw it at any time); and compliance with legal obligations.
Who we share it with
We share personal information only with service providers that help us run Actuall AI, under contracts that limit their use of it to providing their service to us:
- Meta (WhatsApp Business Platform), which delivers messages between your team and the agent. Meta’s own terms and privacy policy also apply to your use of WhatsApp.
- Cloud hosting and storage providers, which store and process workspace data.
- AI model providers, which process content to produce transcripts and answers. We use providers that do not train their models on data sent through their business APIs.
- Cloudflare, which hosts this website.
- Google Workspace, which handles our email.
We may also disclose information if the law requires it, to protect people’s safety or our legal rights, or as part of a merger or sale of the business, in which case this policy will continue to apply to it.
You can ask us for a current list of the service providers we use.
International transfers
Our service providers may process data outside Israel, including in the United States and the European Union. When we transfer data, we do so in line with Israel’s Privacy Protection (Transfer of Data to Databases Abroad) Regulations and, where the GDPR applies, using safeguards such as the European Commission’s Standard Contractual Clauses.
How long we keep it
- Workspace content is kept for as long as your company keeps its account, and deleted within 30 days after the account is closed, unless your company asks us to delete it sooner or the law requires us to keep it longer.
- Enquiries and support emails are kept for up to two years after our last contact.
- Security and technical logs are kept for up to 12 months.
How we protect it
Each customer’s data is kept logically separate from every other customer’s. Role-based access controls limit what each user can retrieve. Data is encrypted in transit, and access by our own staff is limited to what is needed to run and support the service. No system is perfectly secure, and if a breach affects your information we will notify you and the relevant authorities as the law requires.
Your rights
Under Israel’s Protection of Privacy Law, you can ask to see the information we hold about you and ask us to correct or delete information that is inaccurate, incomplete, unclear, or out of date. If you are in the EU or UK, you also have the right to erasure, restriction, portability, and to object to processing, and to withdraw consent at any time.
To make a request, email support@actuall.ai. We will reply within 30 days. If the request concerns workspace content, we may pass it to your employer, who controls that data.
You can also complain to Israel’s Privacy Protection Authority or, in the EU or UK, to your local data protection authority.
Children
Actuall AI is a business tool and is not meant for anyone under 18. We do not knowingly collect information from children.
Changes to this policy
If we change this policy, we will update the effective date above. For significant changes, we will also notify customer administrators by email or in WhatsApp before they take effect.
